CATEGORIES
WPSA MEMBERS: to register as a member it is necessary to have renewed the membership for the year 2023. Participants who registered at ESPN 2023 that are not in compliance with the payment of relevant membership fee of the association for the year will be asked to settle the difference between members and Non Members registration fee.
NON MEMBERS: Registration fee for anybody not part of the above mentioned association.
*STUDENTS: Students and PhD students up to 31 years old benefit from a discounted fee. To register as a Student please provide a certification from an University supervisor espn2023registrations@vetinternational.eu
SYMPOSIUM DINNER is NOT included in the registration fee. Participants who wish to attend the dinner are requested to purchase the ticket during the online registration process, upon availability, first come first served.
COMPANIES extra exhibitor pass – please check the sponsor prospectus to verify how many exhibitor pass are included in your sponsorship.
Exhibitors are welcome to purchase additional exhibitor registrations.
Each additional registration is priced at € 200,00 VAT included for the duration of the Congress.
Exhibitor registrations include access to the Venue, exhibition and poster areas, coffee and lunch services
throughout the day, welcome party, access to sessions in programme (Social Dinner not included).
No set materials delivered per any additional exhibitor pass (n. 1 bag per Company).
DISCUSSION GROUPS
As per ESPN Symposium format, during the online registration process you will be asked if interested in taking part into the Scientific Plenary Sessions Discussion Groups (DG); each Discussion Group will be chaired by a WG2 member with the aim to create an opportunity for participants coming from industry, institutions and different geografical areas/competence to mingle together and share their knowledge and experience.
Each discussion group will meet in a specific room, will discuss and prepare two/three questions relevant to the previous Plenary Sessions which will be passed on to the Session Chairman of the session for plenary discussions.
Taking part in a Discussion Group is a great opportunity for all the attendees and especially for Young Researchers to approach and create their scientific network, sharing their knowledge & contributing to plenary session discussion debate.
Participation is free of charge (included in the registration fee) and you will be informed in due time about your destination group at the conference; we kindly ask responsibility when confirming the willingness to take part, as the spread into groups of the attendees will be decided by the Scientific Committee on the basis of interested delegates in order to enrich the discussion.
The organizers would like to stress that participation in DG does not require extensive knowledge and experience. All that members of DG are expected to be willing to get new experience and meet people from other countries and institutions and possibly develop new contacts.
The organizers hope that once you decide to take part in a DG, you will participate in all the 5 scheduled DG in the programme; in order to further motivate the participants, the Scientific Committee, at the end of the Symposium, will award a small gift to each participant that will have taken part to all the 5 scheduled DG. Available seats are limited, don’t miss your chance, but please do not register for the DG if you are not interested, leave place to your more interested colleagues!
LANGUAGE
The official language of the ESPN 2023 is English.
CONFIRMATION
The participation will be confirmed upon payment receipt. Delegates registering within the EARLY BIRD deadline shall pay for their registration within the deadline. After that date the REGULAR registration fee will be applied to all unpaid registrations. No exception will be made.
Kindly note that Abstract Authors only, in order to have their abstract included in the Abstract Book, are requested to register within the Early Registration Deadline.
TERMS OF PAYMENT
Registration is only valid upon receipt of the payment. The payment will be in Euro currency: it can be made by credit card online or by bank transfer (see below).

Please note that bank charges won’t be accepted; bank charges are at the sender's expense. All unpaid bank charges will be charged upon arrival.
INVOICING
When filling out the online registration form we strongly recommend to pay particular attention to the Invoicing page.
Before registering, carefully check who the invoice shall be headed to and make sure you have all relevant information:
• header
• address
•VAT code
• fiscal code (for Italians only)
• PO number (if required)
• e-mail address
Make sure the invoice details you are going to indicate are the correct ones. In case of requests for data corrections and/or invoice re-issuing due to wrong data submission, the Organizing Secretariat will apply a fee of € 50,00 for each new document re-issued, which shall be paid in advanced.
CANCELLATION AND REFUND POLICY FOR REGISTRATION
Cancellation can only be made in writing to the Organising Secretariat espn2023registrations@vetinternational.eu
Cancellation received within May 14th: 50% refund.
Cancellation received after that date or no notice: no refund
If for reasons beyond the control of the Organisers the Congress is cancelled, registration fees will be refunded following deduction of unavoidable expenses. No refund will be given in case of no-show, regular arrival, unused services, unattended events or early termination of attendance. In case of regular registration and missed participation, the Organising Secretariat will send the conference abstract book upon request of the registered participant. The forwarding of the abstract book will invalidate each claim for reimbursement.
All refunds will be processed after the event.
CANCELLATION OF THE CONGRESS
The congress secretariat reserves the right to cancel the congress, shift venue or change dates without notice in case of “force majeure”. Neither VET International nor the Congress Organising Committee shall be liable for any damage claims.
LIABILITY AND INSURANCE
Registration fees do not include the insurance of participants against personal accidents, sickness and cancellations by any party, theft, loss or damage to personal possessions. Participants are advised to take out adequate personal insurance to cover travel, accommodation, cancellation and personal effects.
ESPN 2023 VIDEO AND PHOTO SHOOTING
The Organising Secretariat and Local Organising Committee wish to inform you that some video and photo shooting during the conference might take place for ESPN 2023 use only; these collected materials will only be used for promotional ESPN 2023 activity by the Secretariat. Please notify the photographer and cameramen if you do not want to be photographed nor filmed.
VISA INVITATION LETTER
To facilitate congress attendance a personal invitation can be sent on request. This invitation does not exempt the recipient from registering and paying the proper congress fee.
Invitation Letter does not guarantee that you will receive a visa.
